013: Your Image Can Make or Break Your Chances at a New Job

 Today’s episode, is the second of a two part series on how to organize your job search step by step by step. Part 2 is about the 13 daily rituals that will help put your job search into overdrive. Highlights From the Previous Episode But before we dive into those 13 daily rituals, Last week’s show, episode 11,  covered the 20 Steps to take in sequence at the very beginning of your job search. These steps help you assemble the tools you will need to keep your job search running smoothly. Without this foundation, your search will be a frustrating series of starts and stops. If you missed it, I highly encourage you to go back an listen to it before continuing because this week’s episode picks up where last week’s episode left off. We have covered the 20 steps to lay a solid foundation for your job search in quite a bit of detail, and now it’s time to examine 13 rituals that will put your job search into overdrive.  In order to get our momentum for today’s show, I think it will be helpful to at least briefly list the 20 sequential steps we covered last week,  Pick a quite place to work without distraction. Play instrumental music in the background to enhance focus. Write a personal appraisal. Write a professional appraisal. Compile your complete work history. Write your resume and cover-letter and resume cards. Write your 30 second pitch or elevator speech. Write your voicemail script. Identify your network and your target list of companies. Compile a list of networking events, such as job fairs and business expos. Create a Google alert to be notified of upcoming networking opportunities. By the way, you can also use Google alerts to be notified of any news on companies you are targeting. Make a list of job transition groups that meet in your area and put them on your calendar. Compile a list of recruiters that work in your field. Compile a list of temporary employment agencies. Compile a list of contracting firms. Select a job board service like Indeed or Simply Hired that aggregates postings from hundreds or thousands of job boards. Select a planner to keep yourself organized. Build a master marketing list from the list of companies you compiled in your target list of companies and from the people you listed in your network list. Fill out your planner the night before. Purchase envelopes, stamps and thank you cards.  Responding to Postings on Job Boards vs. Calling the Hiring Manager Directly. Back in Episode 3, we talked about the Ten of the Ways to Look for a Job and Why I Really Like #10. If you are wondering why I think you should be making direct contact with the hiring managers in companies you are interested in working for, go back and listen to the episode at JobSearchThatWorks.com/003. In the beginning of your search I recommend making phone calls. This is a much faster way to get feedback and will put you in a position to have conversations with people working inside the company. Without question, it is the quickest and most effective way to make rapid progress. One of the first questions asked by coaching clients in this phase of the job search is, “How do I get past the gatekeeper?”. I cover that topic in episode 008. You can find it at www.JobSearchThatWorks.com/008. I have also shared a sample script in the show notes to episode 008. The next question that usually follows is, ” What do I do if I get the hiring manager’s voicemail?”. Great! Leave a message. You have already planned ahead and wrote your voicemail script. Just have it handy while you are making your calls. Remember to include a time and date you will call back. Consider making your next call two or three business days in the future and put it as an appointment on the calendar in your planner. I recommend putting the time of each call in your contact’s notes so you can change up the time of the call in the future. Jot down the names of everybody you spoke with while getting to the hiring manager, i.e. the front desk receptionist or administrative assistant, extension numbers, etc. Okay. Let’s step back and take a look at all the tools you have created for yourself. this is an amazing amount of progress. You have set the stage for your success. It is time to speak about a few daily rituals that will enhance your search and are often overlooked. But trust me, they make all the difference in the world.  Plan the night before Get to bed at a reasonable time Wake up early Reserve the first hour of the day for you … no technology, no telephone calls, no social media, NO EMAIL! Spend this time praying, meditating, taking a walk, exercising, or appreciating nature. This time is just for you … do something that nourishes your soul. Get cleaned up and dress like you are going to work. You are! Your are working for yourself and that’s the best person to work for that I can think of. Set normal work hours. Just like your job, and eight hour work day. with breaks in the morning, for lunch, and in the afternoon. Set an alarm once an hour to get up and stretch. Take a four deep slow breaths and then get back to your plan. Schedule a specific time or two for email. Otherwise, don’t look at it! Quit working at quitting time. Spend time with family and friends. Eat will and avoid too many carbohydrates. They tend to make us tired. It’s hard to get anything done when we are nodding off. Celebrate your accomplishments. Rinse and repeat.  In closing … if you find old habits beginning to creep in, here are a few suggestions.  Become aware of that you are doing in the moment. Don’t judge yourself or beat yourself up. Simply acknowledge that it is happening. Ask yourself if what you are doing is in your best interest and helping you progress toward your objective. If not, what action can you take that will help you reach your goal faster? Do it!  Today we covered the 13 recommended rituals to put your job search in overdrive. 012: Organize Your Job Search Step By Step – Part 2

We found out what they can do to help us advance in our careers in the long term. But we also found out that they weren’t usually the right place to focus our attention if we need immediate results. We interviewed Steve Darby, a veteran recruiter. He gave some great advice on developing a good relationship with recruiters. One valuable takeaway from the conversation was that when a recruiter calls you, it’s probably a good idea to take the call. You never know when something wonderful is about to happen. We interviewed Steve Darby, a veteran recruiter. He gave some great advice on developing a good relationship with recruiters. One for face to face interviews and one for online submission. – Design and order resume cards.</li> <li>Write your 30 second pitch or elevator speech</li> <li>Write your voicemail script.</li> <li>Create Call List – Identify your network – Identify your target list of companies (150 contacts = 7 interviews = 1 offer)</li> <li>Compile a list of networking events, such as job fairs and business expos.</li> <li>Create a <a href="http://www.JobSearchThatWorks.com/googlealerts" rel="noopener noreferrer nofollow" target="_blank">Google Alert</a> to be notified of upcoming networking opportunities. <a href="http://www.JobSearchThatWorks.com/googlealerts" rel="noopener noreferrer nofollow" target="_blank">Here is the link to Google Alerts.</a></li> <li>Make a list of job transition groups that meet in your area and put them on your calendar.</li> <li>Compile a list of recruiters that work in your field.</li> <li>Compile a list of temporary employment agencies.</li> <li>Compile a list of contracting firms.</li> <li>Select a job board service like Indeed or Simply Hired that compile the postings from hundreds or thousands of job boards. Contingency vs. Retained Recruiters A recruiter will commonly withhold Information about the client company on the first conversation. Candidates need to be patient and understand that recruiters will initially be guarded until there is a clear understanding that candidate is a true match for the position. Additionally, it is in the candidate’s best interest for the recruiter to take the time to understand the wants and needs of the candidate. Networking, Social Media, and Database. We do not advertise in Job Boards. Recruiters have to deliver candidates that are happily employed rather than those that are actively applying on Job Boards. Even when employers are running ads, a recruiter is thoroughly screening candidates and even surfacing passive candidates that employers will not find on a Job Board.  How a good recruiter finds candidates. The greatest misconception candidates have about recruiters. Reasons recruiters may not return your phone calls How a good recruiter can keep an candidate from feeling like he or she is being used to earn a commission. Why it can be a good idea for candidates to proactively contact recruiters to be represented. A recruiter’s perspective on resumes. Placement frequency using a recruiter. These can undermine the the very best job search. We can’t run from our problems, because wherever we go, our problems go with us, because most of the time, our problem is us. NLP: “Neuro-linguistic programming (NLP) is an approach to communication, personal development, and psychotherapy created by Richard Bandler and John Grinder in California, United States in the 1970s. Its creators claim a connection between the neurological processes (“neuro”), language (“linguistic”) and behavioral patterns learned through experience (“programming”) and that these can be changed to achieve specific goals in life.” http://en.wikipedia.org/wiki/Neuro-linguistic_programming The vast majority of communication is nonverbal. Without anything being said, we can feel the tension. A few studies give us an indication of why this actually happens. Dogs sense fear! Well apparently so do we. Applicant Tracking Systems have difficulty reading resumes with this and will delete them without a human ever seeing your information.Applicant Tracking Systems – Two main reasons an ATS rejects your resume- Keywords don’t match Cant read the resume, including  your contact information, because of the format. Now that we have solved that problem, let’s address the TACTICAL issues of effective resume submission- Online Job Boards Human Resources Hiring Manager/Boss’ Boss We have covered the what, who and why, let’s talk about the where by Identifying Target Companies- Industry Size of company Position Geography This is where I would like to introduce you to Reference USA. Here’s a link to a video tutorial that will help you find a library nearest you that offers access to ReferenceUSA.www.JobSearchThatWorks.com/library-locator If you choose to use this link instead of watching the video, make sure you follow these instructions: When Google search opens, note that the following search string appears:                        library “reference usa” AND “Ohio” OR “OH”  site:.org OR site:.gov OR site:.edu Change “Ohio” to your state and make sure you include the quotation marks “”. Change “OH” to the two letter abbreviation for your state and remember to the abbreviation for your state and remember to include the quotation marks “”. Finally, narrow your search by entering the name of your town or the nearest larger town after the word library in the search string.  Now that you know where to find companies that fit your target, you need to know the numbers … the metrics for greatest odds of success.150 contacts = 7 interviews = 1 offerMethods: In person Phone Getting past the gatekeeper.Call before 8-00 AM, After 5-00 PM or between 1-00 – 2-00 PMUse a Pattern Interrupt to get past the gatekeeper more often. 008: Reconsider Submitting Your Resume Like That

 Welcome to the Job Search That Works Podcast. I’m  you host, Ray Gooch. Over the next few minutes, we will answer your questions about how to navigate the challenges of looking for new job landing you quickly and safely into a career you love with a bright future. In today’s episode, we are talking about how Employers Are Not Interested In What You Do As Much As What You Have Accomplished Highlights From the Previous Episode But before we do, in our last show, episode 006, we talked about Five Reasons Your Resume Is Rejected And How To Turn It Into Your Own Personal Marketing Machine. On This Episode Employers Are Not Interested In What You Do As Much As What You Have Accomplished There’s a big difference between Duties and Accomplishments. Duties:  Are all the routine things you do in the performance of your job. Are done as a part of the minimum expectation in the performance of your job.  Accomplishments:  Are those achievements beyond the daily routine. They bring added value and benefit to your employer.  A Pharmacist’s duty may be to greet customers and count pills. However, an accomplishment may be that the pharmacist grew the pharmacy from 150 scripts per day to filling 450 scripts per day within a 12 month period by speaking to neighborhood groups and civic organizations on dangers of common drug interactions. Perhaps you are struggling to recognize your accomplishments. Consider that:  We all have them. We get so good at performing our responsibilities that we often fail to recognize how we distinguish ourselves from our co-workers. Employer reviews don’t tell the whole story. You may get a pat on the back for doing a good job and that’s about it. Who knows? Maybe your boss might thing you will want a big raise if they point out too many exceptional things you have done.  Accomplishments demonstrate that you have made your company money, saved your company money or improved processes within the company. These activities show your worth beyond being a warm body that can deliver the minimum requirement. Here’s a simple way to identify your accomplishments and move you toward being able to articulate them. Take out a piece of paper and make three columns on it. Next put heading on those columns. Title the left column “Challenge”, the middle column “Action Taken” and the right column “Results”. Challenge                |                Action taken                |                Results Fill out a page for each position you have held within each company for which you have worked. I said this task is simple, not easy. It takes some thought. If you are having difficulty, consider the things your co-workers came to for. These will be indicators of your strengths. We are usually confident about something we do well. That is where we usually make a valued contribution. The second step to this process is articulating our accomplishment. Let’s continue the Pharmacist example.  Our pharmacist writes down the challenge in the first column. It is a l150 scripts per day which is a low number. In the second column, she writes down how she attends neighborhood groups and civic organizations like Rotary or Kiwanis talking about some common drug interactions that are commonly overlooked. She offers herself as a resource for safely administering medications. Especially to children and aging parents who are often unaware of potential danger. She then writes in the third column how the number of scripts kept improving over the year reaching 450 per day. That is a 66% increase in the number of daily prescriptions fill in just one year. A student in one of my classes spoke up saying, “ I am a bailiff in a federal court. I don’t have any accomplishments.” To the contrary, if you don’t maintain order, will that slow down proceedings? “Yes.” he answers. Does it cost the court money when there are delays that you have direct control over? “Yes.” he answers again. Do you think the judge might have something to say to you if delays were a result of something you did or did not do? “Yes.” he replied. Then you have accomplishments. You simply need to use the formula you have been given to recognize them and learn how to share them.   Assembly worker? What about a 15% increase in hourly production by re-positioning the parts supply within reach and the natural range of motion?   Or a Pizza Delivery Manager who reduces accidents by 13% through adjusting the customer expectation from 30 minute to 45 minute delivery times. There was a national chain that did just that. Here are seven examples of where you will use the accomplishments you uncover.  In your 30 second elevator  pitch during networking opportunities. On your resume or CV. In your cover letter. During Informational Interviews In formal telephone or face to face interviews. During offer negotiations. When you are asking for a raise.  Imagine how much more confidence you have when you know your worth and can talk about the value you bring. It is nothing less than life changing. I have interviewed many thousands of job seekers over the years and it is truly rare when a candidate can communicate their value. Be one of the few and you will stand head and shoulders above your competition. Rest assured that you will be remembered by the hiring authority. Someone who can communicate their worth is a breath of fresh air in the drudgery of interviewing scores of candidates, looking for that rare jewel. Knock the dust of and polish your presentation. Five Reasons Your Resume Is RejectedAnd How To Turn It Into Your Own Personal Marketing MachineHighlights From the Previous EpisodeBut before we do, in our last show, episode 005, we talked about The Hidden Job Market and How You Can Find It As a reminder, The “hidden job market” refers to job openings that are not posted online or advertised. Positions are posted internally with hopes that employees will refer candidates. Human resources receives too many applications. Human resources is focusing on priority openings. Sensitive high-level position. Replacing someone with a critical function that the company cannot afford to be without. Extremely low supply of highly specialized skills. Heat map studies of where Recruiters are looking on your resume. 1. Format and Layout Doc/RTF/PDF Contact Info in Header Templates are a problem for ATS’s Versions for online vs in person How much contact info? Top third (above the fold) Titles most important, then company, then dates to the right.Duties in a small paragraph (2 to 3 lines) Accomplishments in bullet points (2 to 3 for each position held. 10 years work history is enough. Fill gaps with volunteer / continuing education Education at the bottom listing degree but leave off year. No personal information i.e. height, weight, pictures, marital status, religious or political affiliation. Leave off superfluous and “duh” type information, like “Resume upon request” 2. A resume in not a Biography.It is a marketing brochure. Highlighting the benefit/value you bring to the company. Thorough company research is required to understand the position and how you fit in.3. Leave off an objective. It limits your opportunities. Use a Professional Overview instead. This should highlight major accomplishments and value you bring to the prospective employer.4. Accomplishments vs. Duties. While some duties may be necessary, these should not be the obvious that everyone in that position typically performs. These should be the high profile duties that make a significant contribution to the workflow. Focus mostly on Accomplishments – how you have made money, saved money or improved process. Think of challenges you faced, the action you took to address the challenge and the result of your action. Use numbers whenever possible, i.e. % increase, top 3 in the country, etc. Remember, try your best to only use bullet points for accomplishments.5. Keywords are paramount. Once again, you must do your research to know them. In addition to recognizing them on the company website, in job postings, and in conversations you have with people inside the company during informational interviews, use a tool such as www.wordle.net or www.worditout.com on iOS devices.RecapIn order for your resume to get you the attention you deserve, 1. Format your resume properly keeping ease of reading / scanning in mind. 2. A resume is a marketing brochure, not an auto biography. 3. Use a Professional Overview in the place of an Objective. 4. Focus on Accomplishments rather than putting so much emphasis on duties. 5. Format and Layout</strong></p><ul> <li>Doc/RTF/PDF</li> <li>Contact Info in Header</li> <li>Templates are a problem for ATS’s</li> <li>Versions for online vs in person</li> <li>How much contact info?</li> <li>Top third (above the fold)</li> <li>Titles most important, then company, then dates to the right.Duties in a small paragraph (2 to 3 lines)</li> <li>Accomplishments in bullet points (2 to 3 for each position held.</li> <li>10 years work history is enough.</li> <li>Fill gaps with volunteer / continuing education</li> <li>Education at the bottom listing degree but leave off year.</li> <li>No personal information i.e. height, weight, pictures, marital status, religious or political affiliation.</li> <li>Leave off superfluous and “duh” type information, like “Resume upon request”</li> </ul><p><strong>2.</strong> <strong>A resume in not a Biography.</strong></p><p>It is a marketing brochure. Highlighting the benefit/value you bring to the company. Thorough company research is required to understand the position and how you fit in.</p><p><strong>3. Leave off an objective. </strong></p><p>It limits your opportunities. Use a Professional Overview instead. This should highlight major accomplishments and value you bring to the prospective employer.</p><p><strong>4. Accomplishments vs. Duties. </strong></p><p>While some duties may be necessary, these should not be the obvious that everyone in that position typically performs. These should be the high profile duties that make a significant contribution to the workflow. Focus mostly on Accomplishments – how you have made money, saved money or improved process. Think of challenges you faced, the action you took to address the challenge and the result of your action. Use numbers whenever possible, i.e. % increase, top 3 in the country, etc. Remember, try your best to only use bullet points for accomplishments.</p><p><strong>5. Keywords are paramount. </strong></p><p>Once again, you must do your research to know them. In addition to recognizing them on the company website, in job postings, and in conversations you have with people inside the company during informational interviews, use a tool such as <a href="http://www.JobSearchThatWorks.com/wordle" rel="nofollow" target="_blank">www.wordle.net</a> or <a href="http://www.JobSearchThatWorks.com/worditout" rel="nofollow" target="_blank">www.worditout.com</a> on iOS devices.</p><h4>Recap</h4><p>In order for your resume to get you the attention you deserve, 1. Format your resume properly keeping ease of reading / scanning in mind. 2. A resume is a marketing brochure, not an auto biography. 3. Use a Professional Overview in the place of an Objective. 4. Focus on Accomplishments rather than putting so much emphasis on duties. 5. Positions are posted internally with hopes that employees will  refer candidates. Human resources receives too many applications. Human resources is focusing on priority openings. These openings are typically given to recruiters.  Breaking into the hidden job market.  Get clear on your skill sets and accomplishments. Know and be able to articulate the value you bring to  and employer. Determine your target market.   Industry Company size Position Geography   Pull a list of companies together that fit that description. A tool such as ReferenceUSA (available through the reference desk and online at most metro libraries) Identify the the person who would be your boss’ boss. Find a way to contact them and ask for some assistance. Send a resume to the Hiring Manager. Not Human Resources. If you are instructed to apply through HR, indicate your willingness to comply and ask if you can also send a resume directly to the person you are speaking with in the event a colleague or associate has a need for someone with your background. Send you resume in a hand addressed envelope marked “personal and confidential”.  Remember, you will have no idea if there are any openings in the company you are calling. So establishing rapport is very important. It takes about 150 of this type of contact to result in 7 interviews that will result in 1 offer. This hidden job market can be tapped by being self aware and confident about what you have to offer a company.  This is a brief outline of the concept. 003: Ten of the Ways to Look for a Job and Why I Really Like #10

After interviewing thousands of candidates from the shop floor to executive suite, I have witnessed the pitfalls to avoid and most importantly, the activities that yield impressive results. Top 10 Reasons You Are Not Finding a Job  You are not spending about 40 hours/week looking for a job. Treat your job search just like you are working for someone else. Work regular hours. Take breaks. Know your responsibilities and be accountable to meet up to them. If you are currently employed, spend 10-15 hours per week, but keep the same work ethic you have on your full time job. You don’t have a system for finding a job. An effective job search is unlikely while you are in your boxer shorts. How do you organize your information? Find a good CRM (customer relationship management) software can keep you organized. Try www.JibberJobber.com. You are unrealistic about your experience. Are your income expectations out of line with what is being paid for your background? Maybe you aren’t aware of how much stress is involved in a job search. Become aware of your stress points and find ways to address them. Talk about them openly with trusted confidants. Find ways to reward yourself things that don’t cost a lot of money when you meet objectives. Job seekers have a tendency to overlook small companies. Big name companies have big budgets to advertise their job openings and tend to get all the attention. Often times, small employers don’t even advertise their openings. Lack of understanding that getting face time with people that hire is the only thing that counts. The number of resumes you send don’t necessarily count. Lack of preparation is a critical problem that directly affects the possibility of receiving a job offer. Do your research about the company before you have any contact with them. Get a practice partner to role play your interviews. Perhaps you can record yourself answering questions. Don’t have a recorder? You probably have one on your smart phone. If you don’t, there is most likely a free app you can download to record your practice session. As a last resort, call yourself on your cell phone and use the voicemail. Do one better … video record yourself or practice in front of a mirror. You don’t know how to sell yourself. Chances are very good that you are not a trained sales person … and a job search is a sales activity. We tend to be unaware of the value we bring to a perspective employer. Take time to analyze your strengths and identify accomplishments. What have you done to make an employer money, save an employer money or improve processes? Perhaps you are focused on self serving issues. You income, commute, and benefits should not come up in the interview until the employer offers you the job. Until you receive an offer, your conversation need to be exclusively about how you can benefit your potential employer. After an offer, you can talk about anything that affects your welfare then because the employer sees your value to them. Making excuses for why you left your last job or why you have decided to change jobs can kill your interview. Take personal responsibility. You can share anything confidently without casting blame on anybody or telegraphing bitterness. The Department of Labor indicates that 80% of positions that are filled and unadvertised openings.  The reason only 20% of filled jobs are advertised is that half of the positions are filled by a referral. It is a couple of months between the time the hiring manager has a need and the posting actually makes it to HR for a position to be advertised. Even then, and internal posting is usually required before going outside the company to fill the position. HR will usually focus on filling positions that are urgent and they ones that are less urgent are put on the back burner and often not even advertised. A candidate that is qualified for one of the less urgent positions and comes to the company’s attention, a hire is possible when an ad was never run. Publicly traded companies may not want to release information that a senior level individual is being replaced for fear that it could negatively impact stock prices. Perhaps someone is being replaced and the company does not want to alert the person being replaced. A percentage of positions cannot be filled through an ad because the supply of candidates is so incredibly low. This is the type of position that is usually outsourced to a recruiter. So focusing your job search online may not be as beneficial as contacting a hiring manager directly. Candidates often don’t know what they want to do, haven’t considered all the skill sets and accomplishments. A candidate cannot do an effective job selling themselves if they have not explored all they have to offer. A candidate’s own understanding of transferrable skills along with the ability to articulate them is paramount . Research will help a candidate determine organizations that would be a good match for them. One thing that impedes and individual job search is applying for a position through Human Resources rather than developing a relationship with a Hiring Authority first. Human Resources has a tendency to screen people out while the Hiring Manager has a tendency to screen people in. A Hiring Manager is more likely to have done the job of the person they are considering for a position, and they certainly have supervisory responsibility. Human Resources typically hasn’t done the job for the position they are trying to fill and they don’t supervise them. It is more of an academic pursuit for HR while the Hiring Manager has an intimate understanding of the position and the culture of the department for which the candidate is being considered. A candidate’s lack of good organizational skills impede their ability to conduct an effective job search. Also, a candidate needs to make their job finding a job. Get a practice partner to role play your interviews. Perhaps you can record yourself answering questions. Don’t have a recorder? You probably have one on your smart phone. If you don’t, there is most likely a free app you can download to record your practice session. As a last resort, call yourself on your cell phone and use the voicemail. Do one better … video record yourself or practice in front of a mirror.</li> <li><strong>You don’t know how to sell yourself.</strong> Chances are very good that you are not a trained sales person … and a job search is a sales activity. We tend to be unaware of the value we bring to a perspective employer. Take time to analyze your strengths and identify accomplishments. What have you done to make an employer money, save an employer money or improve processes?</li> <li><strong>Perhaps you are focused on self serving issues.</strong> You income, commute, and benefits should not come up in the interview until the employer offers you the job. Until you receive an offer, your conversation need to be exclusively about how you can benefit your potential employer. 002: Top 10 Reasons You Are Not Finding a Job
